About Our Client

My client are a global mining equipment business based south of Perth. A recently appointed MD is seeking an equally dynamic and driven individual to support him in driving business improvement and project management of strategic priorities.

Job Description



An opportunity to work with the Executive team to understand business critical improvements and support in the exciting growth plans the new MD has. Day to day duties include:

  • Strategic Projects - project manage strategic priorities by tracking milestones are completed on time, research & prepare data and reports as required by the GMs to ensure swift decisions can be taken.
  • Marketing: Recommend, prepare, and upload marketing feeds on the company's digital media platforms and assess print media channels. Build a repository of tender material which can be used by the Sales in tender responses.
  • HR: Support HR-related activities by updating essential HR documents, review Fair Work directions, support recruitment activities, and provide payroll administration support as required.
  • Meeting Facilitation: Prepare high quality presentation material for internal and external stakeholders, participate in key meetings, take minutes for both internal and external business gatherings, and assist in following up on action items.
  • Calendar & Travel Arrangements: Effectively manage the Managing Director's schedule, giving priority to meetings and commitments. Handle travel logistics, including itinerary planning and accommodation arrangements for the Directors and Equity Partners.
  • Legals: Assist with the preparation and filing of legal documents such as contracts, confidentiality agreements & clarification registers.
  • Data Mining - ability to analyse data sets in Excel and identify trends and correlations.
  • Ad Hoc Projects: Undertake various ad hoc projects and tasks as needed to ensure the smooth functioning of the executive office.

The Successful Applicant

To be successful in this role you will be able to demonstrate the below:

  1. Exceptional organisational skills and attention to detail
  2. Strong communication and interpersonal abilities and the ability to build positive relationships at all levels in the company
  3. an executive assistant or similar role
  4. Confident & proficient understanding of IT systems
  5. Advanced level proficiency in MS Word and MS PowerPoint, Outlook, intermediate Excel, ability to data mine to spot trends and proficient in preparing and updating online portals / social media
  6. Desirable: Intermediate use of Smartsheet (or the willingness to learn)
  7. Ability to handle sensitive and confidential information with discretion
